Vendor Contract & Application
The 2020 Wake Forest Home & Garden Show is scheduled for Saturday, Aug. 22, from 9 a.m. - 4 p.m. and Sunday, Aug. 23, from 11 a.m. - 3 p.m.
The show is free and open to the public. Attendance is estimated at 2,000 - 3,000.
Sponsorships and spaces are sold on a first come, first served basis and will be reserved when paid in full.
Vendor Spaces & Set-Up
The Town of Wake Forest reserves the right to rearrange the floor plan as necessary in the event of cancellations, additions or unforeseen space requirements. Exhibitors may not share or sublet space. Expo organizers reserve the right to approve or disapprove all exhibited materials, without recourse. Vendors should not break down spaces early. Breakdown begins promptly at 3 p.m. on Sunday, August 23.
Vendor Set-Up – Vendors will have access to the Renaissance Centre Grand Hall & Arts Annex on Friday, Aug. 21, from 9 a.m. to 4 p.m. to set up.
Grand Hall Vendor Spaces – Grand Hall vendor spaces are 8’ x 8’. Event tables and table skirts will be provided upon request through indication on the vendor contract. Two chairs per booth will be provided. Vendors may bring an additional table cloth or cover of any color to be placed on the table as well as additional chairs. Vendors may also decorate their tables or areas in any other appropriate manner they choose. Any vendor decorating with flowers, trees, wood chips, and other like displays must have a tarp or similar item underneath the display to protect the carpet and ensure easy cleanup of these materials.
Arts Annex Shopping Market Vendors - Arts Annex vendor spaces are 7' x 7' and will be marked off with tape for vendor set up. There will be no pipe and drape in the annex. Two chairs per space will be provided. Vendors may decorate their area in any appropriate manner they choose as long as it fits within the designated space. Vendors are responsible for selling and collecting payments on their own items.
Certificate of Liability Insurance
Each exhibitor is required to submit a certificate of liability insurance naming the Town of Wake Forest as the additional insured. Vendors will not be allowed to set up without a current certificate of insurance. Certificates should be submitted with your signed contract.
Vendor Parking
After unloading all necessary materials for booth set-up, vendors are to park in the designated parking area on the days of the event. This area will be shared with vendors closer to the show. ALL vendors must have vehicles removed from the show area and in the vendor parking lot by 8:30 a.m. on Saturday, August 22 and by 10:30 a.m. on Sunday, August 23.
Electrical Access
Electricity is available to a limited number of exhibitors for an additional fee of $50 and will be determined on a first come, first serve basis. Vendors must mark the selection for power on the vendor contract and pay the additional fee at time of registration. Vendors must bring their own extension cord of appropriate capacity. A maximum of 5 amps per booth will be allowed.
Internet Access
Internet access for vendors will be available inside the Renaissance Centre. Vendors should connect to the network, WF Public.
No Category Exclusivity
There will be no category exclusivity for the show. Multiple businesses of the same category may participate but final decisions will be up to the discretion of the expo coordinates. The Town of Wake Forest will make every effort to ensure businesses are not next to each other, but cannot make any guarantees regarding placement and layout.
Security
The Town of Wake Forest will provide general overnight security during the show dates however, the town will not be responsible for vendor exhibits or content. You are strongly encouraged to remove any valuable and easily portable items from your space when you leave each evening.
Vendor Hospitality Room
The Renaissance Centre will provide a Vendor Hospitality Room in the Arts Annex where registered vendors can take a break and enjoy light snacks and drinks throughout the day.
Equipment & Displays
Any racks, stand-alone signage, shelves or any other equipment the Vendor wishes to use must fit within the registered exhibitor space. If additional space is required for equipment or displays, the Vendor must purchase an additional space or adjust displays to fit space requirements. Vendors should be considerate of expo neighbors. The Town of Wake Forest cannot guarantee that spaces will be exactly as specified, as movement, aisle space considerations and other factors may affect actual measurements. All display materials must be self-contained and may not be attached to walls, ceilings or floors.
Sound
Vendors with audio are asked to keep the volume to levels deemed appropriate at The Renaissance Centre’s discretion. Vendors who do not comply will be asked to turn their PA equipment off. Any complaints by other Vendors regarding sound levels will be addressed by Event Staff.
Safety
All Vendors agree to adhere to the Renaissance Centre rules and regulations. If a display requires any type of cords, wires, cables, etc., be placed on the floor, the Vendor is responsible for securing those items to the floor safely. If a display is deemed to be unsafe or hazardous in any way, the vendor may be asked to correct the matter or disassemble the display. All walkways must be free of obstructions, cords, wires or anything else that may cause injury. In the event of any accident, severe weather, act of terrorism or act of God requiring an emergency evacuation of the expo, vendor agrees to follow all emergency exit directions posted and instructions from event staff.
Clean Up
Vendors are solely responsible for any damage done to the Renaissance Centre floor or walls resulting from event displays. Vendors must leave their space clean of all trash, materials and debris. Vendors will be charged a cleanup fee if all materials are not removed or space is left in an unsatisfactory condition. Any materials left behind will be thrown away.
Selling at the Expo
Licensed businesses are allowed to sell merchandise from their booths. Vendors who sell merchandise at the event are responsible for recording and paying all applicable sales tax. It is required that sales receipts must be furnished to all persons purchasing items at the show.
Promote the Expo!
To get the most out of your experience, we encourage you to promote your participation in the show to your customers. Put up posters in your store or send them out in the mail with invoices. Post on your website and social media accounts that you will be attending the show and pass along any promotional communications that the town provides regarding the show. Please tag
